Terms of Service
Last updated October 10, 2026
These terms cover the Cohort Keeper Retention Install and Retention Ops services. Cohort Keeper is a product of Automation Millionaire, a DBA of Novel Bookings LLC, a California limited liability company ("we", "us"). "You" means the person or business that buys a service. By paying for a service, you agree to these terms.
1. What we provide
Retention Install is a one-time setup for your paid Skool community. It includes a routed welcome sequence, first-month emails, renewal check-ins and a member FAQ assistant, as described on our homepage when you bought it. It includes a Day 7 handoff note and a Day 30 retention report.
Retention Ops is an optional monthly service for install clients. Each month we review results, tune email copy and timing, and send a churn report.
We build with official tools only: Skool's Zapier integration, your email tool and our hosted assistant page. We never ask for your Skool password.
2. What we need from you
- A paid Skool community on the Pro plan, a paid Zapier plan and an email tool with API access. You pay for these accounts directly.
- A completed intake form, plus admin or integration access to connect these tools.
- Copy approval before anything goes live to members.
- For reports, a screenshot of your Skool analytics when we ask for one.
The 7-day timeline starts when your intake is complete and we have access. If something on your side is delayed, the timeline moves by the same amount.
3. Your members and your content
You own your community, your course content and your member list. You're responsible for your relationship with your members and for the messages sent to them, including following Skool's rules, email laws such as CAN-SPAM, and your own privacy policy. We handle member information only to set up and run the service for you. See our Privacy Policy.
The email copy and assistant content we write for you are yours once you've paid. We keep our own templates, methods and tools, and may reuse general know-how. We won't share your community's details or results under your name.
4. Payment
Prices are in US dollars and are shown at checkout. Payments are processed by Stripe. Retention Install is billed once. Retention Ops renews every month until you cancel. Refunds are covered in our Refund Policy.
5. Cancelling Retention Ops
You can cancel anytime from your billing page. Service continues until the end of the month you've already paid for. Everything we installed stays in your accounts and keeps running after you cancel.
6. Results
We work to reduce early cancellations, but we can't promise a specific retention rate or revenue result. Churn depends on your offer, content, pricing and community, which we don't control. Any numbers on our site, including benchmarks and calculator estimates, are examples, not guarantees.
7. The FAQ assistant
The member FAQ assistant answers from the course notes you approve. It is labeled as an assistant and can be wrong. It is not a substitute for you or your team on billing, refunds or personal issues. We log the questions members ask, without names, so we can report on them and improve the notes. The assistant has a daily question limit to prevent abuse.
8. Other services
The service depends on Skool, Zapier, your email tool, Stripe and Cloudflare. We aren't responsible for their outages, price changes or product changes. If one of them removes a feature we rely on, we'll tell you and suggest the closest working option.
9. Confidentiality
We keep your private information confidential, including access details, analytics and member data. We share it only with the tools listed in our Privacy Policy, and only as needed to run the service.
10. Limits on liability
The service is provided as described, without other warranties to the extent the law allows. Our total liability for any claim is limited to the amount you paid us in the 3 months before the claim. We aren't liable for indirect or consequential losses, such as lost profits or lost members.
11. Ending the service
We may stop working with you if you don't pay or if you break these terms, for example by asking us to send messages that violate Skool's rules or email law. If we end a Retention Ops subscription for reasons that aren't your fault, we'll refund the unused part of the current month.
12. Changes and law
We may update these terms. The version in effect when you bought a service applies to that purchase. Changes apply to Retention Ops at your next renewal after we post them. California law governs these terms, and disputes go to the state or federal courts in Santa Clara County, California.
